BECOMING INDEPENDENT JOB DESCRIPTION

POSITION:  Logistics Specialist

PROGRAM: Social Enterprise 

POSITION DESCRIPTION:  The Logistics Specialist plays a key role in supporting the operations of our Secured Document Destruction business. This position involves operating the mobile shred truck, ensuring safe and efficient document destruction, and delivering exceptional customer service. On occasion, the role may require assistance with on-site events at The Backdrop, ensuring a positive event and guest experience. The ideal candidate will be a reliable and customer-focused individual, able to multitask and work flexibly to meet business demands.

SUPERVISED BY:  Community Relations Manager 

SALARY:   $25/hr

STATUS: M-F Full-Time; Non-Exempt. Occasional evenings and weekends.

 

CRITICAL JOB FUNCTIONS 

Possesses the professional skills and abilities specific to the technical aspects of the position.

SECURED DOCUMENT DESTRUCTION

  • Assists with oversight of document destruction operations.
  • Provides professional, courteous, and timely service to customers. Addresses any questions or concerns and ensures customer satisfaction during service.
  • Efficiently plans and follows daily routes, ensuring timely arrival and completion of scheduled services.
  • Ensures strict confidentiality of all materials by following established chain-of-custody procedures and adhering to applicable data protection regulations (including HIPAA and FACTA, as applicable), in alignment with i-SIGMA industry standards for secure information destruction.
  • Safely and efficiently loads and unloads materials for shredding, following established procedures to maintain security and confidentiality.
  • Maintains records and submits accurate reports as required by BI, vendors, and related agencies.
  • Collects and records customer payments and maintains accurate daily financial documentation for accounting purposes.
  • Creates and manages service tickets for each scheduled stop, ensuring accuracy and timely processing. 
  • Schedules in-person shred services and live shredding. 

PROVIDE SUPPORT & TRAINING TO PERSONS SERVED

  • Provides shadowing opportunities and on-the-job training for individuals served through BI’s services, offering guidance, hands-on instruction, and support with skill development, independence, and, when needed, personal care.
  • Coaches individuals in customer service and various aspects of Shredding and Social Enterprise services
  • Transport persons served to and from work, community activities, appointments, and errands, as needed.

VEHICLE EXPECTATIONS/DOCUMENTATION

  • Operates the mobile shred truck, box truck, and other transportation vehicles safely while adhering to all legal and BI vehicle/transportation procedures. 
  • Operates shredding equipment, hydraulic lifts, and related machinery safely
  • Performs and maintains daily records of specified safety and maintenance inspections.
  • Maintains mileage, fuel, time, and work records as directed.
  • Reports any vehicle or equipment malfunctions or safety concerns to management promptly for repairs and maintenance.
  • Ensures BI vehicles are inspected and cleaned before and after each use and completes all required pre-use inspections through the Fleetio application prior to operating any BI vehicle.

KEEPING RECORDS AND REPORT WRITING

  • Completes monthly trainings within the required timeframes.
  • Maintains accurate time and attendance records in ADP, including daily punches, meal/rest breaks, and timely review and correction of timecards.
  • Records data related to assigned tasks using BI information platforms (e.g., Therap/ISP data, ADP).
  • Enters and maintains accurate ADP records for persons served (e.g., volunteer hours, paid work, community access) on a daily basis or by the end of the next scheduled shift if unable to complete the same day.
  • Maintains individual progress records and writes/submits accurate reports in accordance with established procedures.
  • Completes General Event Reports (GER) as required.
  • Monitors and responds to company email and text communications in a timely manner, consistent with organizational expectations.
  • Maintains an accurate and up-to-date schedule using Google Calendar or assigned daily scheduling tools, reflecting all work-related activities.
  • Attends and actively participates in weekly staff meetings, trainings, and other required meetings.

THE BACKDROP ON-SITE SUPPORT - AS NEEDED

  • Serves as the point of contact for guests, assisting with directions, answering questions, and ensuring a positive guest experience.
  • Operate and troubleshoot audiovisual equipment (microphones, projectors, and screens) to ensure equipment is in working order during the event.

QUALIFICATIONS AND REQUIREMENTS

 

CREDENTIALS/LICENSES: Class C State of California driver’s license with a clean driving record.

EDUCATION:  High school diploma or equivalent required. 

EXPERIENCE: 

  • Prior experience in operating oversized/commercial vehicles is required.
  • Knowledge of EZ Shred software preferred.
  • Intermediate to advanced-level skills in Microsoft Office preferred.
  • Intermediate to advanced-level skills in Google Mail, Google Calendar, and Google Drive preferred.
  • Must be able to speak, read, write, and understand the primary language used in the workplace (English).
  • Previous experience working with individuals with intellectual/developmental disabilities is desirable.

PHYSICAL REQUIREMENTS:

  • A physical condition that will permit frequent bending, squatting, turning, and lifting without injury.
  • Ability to operate a vehicle for a portion of your shift.
  • Ability to walk and stand for prolonged periods of time.
  • Performs repetitive lifting and handling of containers/bins
  • Ability to assist individuals in wheelchairs.
  • Provides personal care to individuals, including assistance in the restroom and feeding.
  • Lift at least 50 pounds.
  • Clearance of pre-employment Functional Capacity Evaluation with no restrictions that cannot be reasonably accommodated without undue hardship.

EMPLOYMENT REQUIREMENTS:

  • Valid California Class C driver’s license with clean driving record
  • Minimum of three (3) years of driving experience
  • Insured, dependable vehicle that can successfully pass BI’s vehicle inspection
  • Proof of current and ongoing auto insurance and valid vehicle registration
  • Criminal Record Clearance
  • Santa Rosa Police Department Record Background Clearance
  • Must be at least 21 years old
  • On-Duty Meal Agreement
  • First aid and CPR certification (will provide training)
